Sponsorship Agreement
Successful applicants will be required to sign a standard Sponsorship Agreement with the City of Melbourne which details the conditions of the sponsorship.
All agreements will be written on a standard City of Melbourne agreement template. Within reason, the applicant needs to accept the funding terms as identified in the template. Should you require to see the template before the submission date please contact the Funding and Activation Team (details below).
The Sponsorship Agreement includes the following:
- identification of Council’s Goals and Objectives aligned to your event;
- sponsorship Rights and Benefits accruing to the City of Melbourne, demonstrating their link to the Evaluation Criteria
- financial aspects of the agreement. The current convention is delivery of 50% of the sponsorship funding prior to the staging of the event, with the remaining balance payable upon its successful conclusion and receipt of an acquittal report unless otherwise agreed
- legal requirements including, insurance and indemnity
- a requirement to provide an acquittal report up to eight weeks post event, based on the established key Evaluation Criteria to align with Council’s reporting requirements.
For the Triennial Sponsorship Program (TSP)
- there is a requirement to finalise annual Key Performance Indicatiors (KPIs) for each year of the TSP. The KPIs will establish the outcomes recipients are committed to achieving for the City of Melbourne each year
- the Sponsorship Agreement will be reviewed and amended each year according to Council Goals and Objectives.
Acquittal
The Acquittal Report date is eight (8) weeks following the conclusion of the Event unless otherwise agreed in the Sponsorship Agreement.
The Acquittal Report should include, but is not limited to the following information:
- the strengths and weaknesses of the Event in both logistical and economic terms
- the results of all research undertaken regarding customer satisfaction, recognition and awareness levels and economic impacts.
The Acquittal Report must be supplied electronically on the City of Melbourne Acquittal Report template, be supported where possible with photographic and/ or video documentation and should include methodology and/ or details of:
- visitation to the City as a result of the Event
- customer Satisfaction of the Event
- retailer Satisfaction of the Event
- any evidence to support an economic benefit to Melbourne derived from the Event
- how the Event achieved/ exceeded the KPIs in both qualitative and quantitative terms
- media clippings.
